What You’ll Do:

Handle phone calls, greet patients, manage logs, and provide translation services

Collect patient data and maintain records

Qualifications:

What You’ll Do:
- Formulates and implements policies, procedures, and processes that meet the standards and requirements of the organization and various regulatory agencies
- Monitors the patient record filing system and ensures accurate and complete data is collected for all patients. Provides feedback and instruction to staff to ensure accuracy of patient files
- Answers questions from staff and provides guidance and feedback
- Assists in the formulation and management of performance targets for individuals and teams
- Measures performance with key metrics such as number of calls per Call Center Agent, queue time, call abandonment %, dropped calls, and customer service satisfaction levels
- Communicates and serves as a liaison between call center and all clinics scheduling coordinators are serving. Builds relationships with clinic supervisors from all clinics call center is serving
- Updates and maintains scheduling protocols for all clinics the call center is serving
- Creates improvement plans to optimize procedures and staff engagement. Ensures adherence to established policies and procedures
- Keeps management informed of issues and problems. Identifies any patterns and creates solutions to mitigate or eliminate them
- Participates in Clinic Leadership meetings and reports results and performance to the Clinic Director
- Performs other duties as assigned
- Management Duties:
- Coaches, mentors, and trains direct report staff. Provides continuous performance management and conducts employee performance evaluations Addresses performance and/or behavior issues, clarifying expectations and providing feedback
- Completes call audits on scheduling coordinators to ensure expectations of scheduling coordinators are being met during the phone interaction with the patient
- Supports staff growth and development. Assesses the educational and experience needs of all levels of staff in collaboration with the individual Encourages staff to seek educational opportunities incorporating job related training in addition to mandatory training
- Participates in the recruitment and selection of staff. Provides orientation to outline job requirements and expectations, policies and procedures, and proper use of tools and equipment
- Manages AIDET patient communication surveys, compiles and communicates results, and makes any process or procedure changes necessary to improve results. Also manages TSF on a daily basis
Qualifications:
- High School Diploma or General Education Diploma (GED). An associate’s Degree is preferred
- Five years of call center, service center, contact center experience or five years of direct customer service experience in a supervisory or lead role Associate’s Degree may substitute 2 years’ experience. Bachelor’s Degree may substitute 4 years’ experience.
- Call center experience, preferably in healthcare is preferred
- Bilingual (English/Spanish) preferred. Must demonstrate the ability to communicate at level 9 on the language proficiency scale to receive bilingual differential pay. Knowledge of medical billing and insurance is preferred. Knowledge of medical terminology preferred. Effective verbal and listening communication skills. Strong customer relations skills, including the ability to manage stressful situations. Basic conflict resolution and de-escalation skills. Ability to work well in a customer-oriented team environment. Ability to work effectively in a fast-paced environment. Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions. Ability to perform administrative tasks such as answering phones, filing, faxing, scanning, and copying. Able to analyze and apply data to improve performance. Strong attention to detail and accuracy. Basic proficiency with 10-key. Basic proficiency with a variety of computer programs, including Microsoft Outlook, Word, Excel, and PowerPoint

What You’ll Do:

Effectively respond to patients on the phone and in person to questions and issues they have

Listen to and interpret patient concerns correctly, while asking probing questions to get to the root of the problem

Performs routine billing functions such as posting patient encounters, billing insurance companies, encouraging payment, receiving payments, and generating end-of-day reports

Answer patient calls in a call center environment, work all accounts, and use appropriate websites and payment systems
-
Ensure accurate and complete data and forms are collected from all patients
-
Update billing and demographic information via online billing systems, as needed. Documents pertinent account information pertaining to all patient issues and outcomes
-
Interact and communicate with all functions of the revenue cycle department
-
Make outbound calls to set up payment arrangements and follow up on delinquent accounts
-
Evaluate guarantor financial status, previous account information, eligibility tools, employment history, and all other income verification documentation, to determine sliding fee eligibility
-
Review cash box receipts and reconcile cash box daily
-
Identify possible compliance and quality of care issues and refer them to the supervisor for resolution
-
Participate in Education, Training, and Cross-training activities as needed
Qualifications:

High School diploma or GED
-
One year of experience in a healthcare coding, billing, or front office role is required

Previous experience in Epic is required
-
Certified Revenue Cycle Representative (CRCR) certification preferred

What You’ll Do:

Answers calls from front office regarding patient payments

Deposits checks received to appropriate bank accounts
-
Maintains cash receipts journal and enters transactions into general ledger software. Ensures all deposits recorded by cash receipts process are accurately reflected

Processes insufficient funds checks according to department policies
-
Processes elective retiree disbursements according to policies and procedures
-
Enters BHS revenue into general ledger software. Reconciles BHS deposits with the bank statement and investigates any differences
-
Enters invoices based upon Grants Department billings. Applies payments received to appropriate invoices
-
Verifies all payments and voided checks are properly recorded. Works with Revenue Manager to resolve discrepancies and bank errors
-
Prepares special reports for the Accounting department. Summarizes Locum Provider costs and hours based on invoice detail
-
Organizes general accounting documentation by both digital and physical filing methods
-
Performs other duties as assigned
Qualifications
-
High School diploma or GED
-
Associate’s Degree in Accounting or Business Administration preferred
-
6 months of experience in an accounting, administrative, office or customer service role
-
Experience in Accounts Receivablepreferred
Knowledge/Skills/Abilities

Knowledge of general ledgers and basic Accounting principles

Ability to work with detailed data and maintain accurate records

What You’ll Do:

Maintains and updates reports and registries for the PCHH team. Responsible for all registry work to include outreach activities, scheduling and documentation. Reviews registry data and ensures proper compliance with established workflows and procedures

Completes audits for invasive procedures and in-house labs. Audits other PCHH data and initiatives. Tracks all audits, providing documentation of audits as requested

Identifies and collects process improvement ideas and communicates them to the appropriate staff

Works with patients and staff to ensure completion of Release of Information (ROI) forms. Sends subpoenas and court orders to the Health Information Management (HIM) department for processing

Sorts and distributes mail and faxes to the appropriate department or recipient

Provides Obstetrics (OB) support as needed to include running reports, maintaining the OB log, and providing consent forms and records to the hospital

Provides chart review support to Physician Assistants (PA) and Nurse Practitioners (NP) as needed. This includes forwarding the chart reviews to physicians and maintaining a chart review log

Qualifications

Associates Degree or Certificate from an accredited technical school preferred

What You’ll Do:

Answers the phone, transfers calls and takes messages as needed for the clinic

Greets patients and maintains patient and visitor log. Notifies appropriate person of the patient’s arrival. Provides translation services as needed to patients

Ensures accurate and complete data and forms are collected for all patients. Creates and maintains patient charts, registers new patients and updates patient data in the computer

Schedules patient appointments according to scheduling guidelines, appointment type, and time needed. Notifies appropriate Provider of all patient no-shows and cancellations. Adjusts and updates the schedule for cancellations, new patients and recall appointments

Manages the multi-line scheduling phone queue and transfers calls to appropriate personnel as needed

Schedules patient appointments for medical and integrated providers according to scheduling guidelines, appointment type, and time needed

Verify and update patient demographic information including contact information, insurance, and income verification

Notifies patient of schedule adjustments at direction of Supervisor including rescheduled and cancelled appointments. Updates the schedule for any changes

Assesses patient’s need to meet with the Patient Benefits Coordinator (PBC) regarding benefits and insurance options. Schedules appointments with the PBC as needed

Manage various scheduling work queues daily including: Cancellations/No‑Show, Recall, Rescheduling and waitlist

Provides outgoing calls related to registries and outreach for patients

What You’ll Do:

Maintains and updates reports and registries for the PCHH team. Responsible for all registry work to include outreach activities, scheduling and documentation. Reviews registry data and ensures proper compliance with established workflows and procedures

Completes audits for invasive procedures and in-house labs. Audits other PCHH data and initiatives. Tracks all audits, providing documentation of audits as requested

Identifies and collects process improvement ideas and communicates them to the appropriate staff

Works with patients and staff to ensure completion of Release of Information (ROI) forms. Sends subpoenas and court orders to the Health Information Management (HIM) department for processing

Sorts and distributes mail and faxes to the appropriate department or recipient

Provides Obstetrics (OB) support as needed to include running reports, maintaining the OB log, and providing consent forms and records to the hospital

Provides chart review support to Physician Assistants (PA) and Nurse Practitioners (NP) as needed. This includes forwarding the chart reviews to physicians and maintaining a chart review log

Performs other duties as assigned
Qualifications

High school diploma or General Education Diploma (GED)

Associates Degree or Certificate from an accredited technical school preferred

One year’s experience working in an office setting, preferably a medical or dental office

Two years’ experience working in a medical or dental office preferred

Bilingual (English/Spanish) required at level 9 on the language proficiency scale to receive bilingual differential pay
