We’re looking for a supervisor to lead our regional service (call) center operations based in Salem, Oregon. Our regional team includes over 40 scheduling coordinators who answer incoming phone calls and text messages, schedule appointments for our providers in many of our medical sites across eastern Washington and western Oregon. This position leads, guides, mentors and coaches our scheduling coordinators who work onsite at our Lancaster location (approx. 19 FTEs) who are an integral part of ensuring our patients have a good experience from their first interaction with our team. What You’ll Do:
- Formulates and implements policies, procedures, and processes that meet the standards and requirements of the organization and regulatory agencies
- Assists in the formulation and management of performance targets for individuals and teams
- Monitors and analyzes key performance metrics, including call volume, queue times, abandonment rates, dropped calls, and customer satisfaction.
- Serves as a liaison between call center and all clinics scheduling coordinators are serving.
- Updates and maintains scheduling protocols for all clinics the call center is serving
- Creates improvement plans to optimize procedures and staff engagement.
- Participates in Clinic Leadership meetings and reports results and performance to the Clinic Director
- Management Duties:
- Coaches, mentors, and trains direct report staff, and supports staff growth and development
- Provides continuous performance management and conducts employee performance evaluations
- Conducts call quality audits and provides coaching to ensure service and scheduling standards are met
- Participates in the recruitment, hiring, and onboarding of staff
- Monitors patient experience and service quality metrics and implements improvements based on performance results
Qualifications:
- High School Diploma or General Education Diploma (GED). An associate’s Degree is preferred
- Five years of call center, service center, contact center experience or five years of direct customer service experience in a supervisory or lead role Associate’s Degree may substitute 2 years’ experience. Bachelor’s Degree may substitute 4 years’ experience.
- Call center experience, preferably in healthcare is preferred
- Bilingual (English/Spanish) preferred. Must demonstrate the ability to communicate at level 9 on the language proficiency scale to receive bilingual differential pay.
Knowledge/Skills Abilities:
Knowledge of medical billing and insurance is preferred. Knowledge of medical terminology preferred. Effective verbal and listening communication skills. Strong customer relations skills, including the ability to manage stressful situations. Basic conflict resolution and de-escalation skills. Ability to work well in a customer-oriented team environment. Ability to work effectively in a fast-paced environment. Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions. Ability to perform administrative tasks such as answering phones, filing, faxing, scanning, and copying. Able to analyze and apply data to improve performance. Performs routine billing functions such as posting patient encounters, billing insurance companies, encouraging payment, receiving payments, and generating end-of-day reports

Answer patient calls in a call center environment, work all accounts, and use appropriate websites and payment systems

Ensure accurate and complete data and forms are collected from all patients

Update billing and demographic information via online billing systems, as needed. Documents pertinent account information pertaining to all patient issues and outcomes

Interact and communicate with all functions of the revenue cycle department

Make outbound calls to set up payment arrangements and follow up on delinquent accounts
-
Evaluate guarantor financial status, previous account information, eligibility tools, employment history, and all other income verification documentation, to determine sliding fee eligibility

Review cash box receipts and reconcile cash box daily
-
Identify possible compliance and quality of care issues and refer them to the supervisor for resolution
-
Participate in Education, Training, and Cross-training activities as needed
Qualifications:

High School diploma or GED

One year of experience in a healthcare coding, billing, or front office role is required

Previous experience in Epic is required

Qualifications

What You’ll Do:

Manages the Referral Process, working on referrals from inception through completion

Manages the recall process to include follow-up communication to patients for routine preventative care, treatment plan completion, and other appointments as needed

Ensures that clinic generated documents are sent to the Health Information department and office related clinic documents are filed in the patient’s record

Creates treatment plan estimates, reviews estimates with the patient, and collects upfront fees

Qualifications:

What You’ll Do:

Plan and manage the daily functions of the clinic front office
-
Formulate and implement policies, procedures, and processes that meet the standards and requirements of the organization and various regulatory agencies

Manage provider schedules to ensure the correct appointment type is assigned, the schedule is full, and daily targets are met. Verify and adjust schedules when providers are not available

Maintain and book appointments for the Credit Manager and Behavioral Health Consultant
-
Monitor the patient record filing system and ensure accurate and complete data is collected for all patients. Provide feedback and instruction to staff to ensure accuracy of patient files

Develop and coordinate quality assurance activities for the front office. Coordinate patient file audits/reviews to comply with standards from The Joint Commission (TJC) and Federal, State, and local regulations. Perform various audits including Cash Box reconciliations and MyChart Proxy

Review and monitor various reports from the Epic system including sliding fee eligibility and utilization, registry follow-up, and patient wellness follow-up

Monitor daily work queues for clinic staff to ensure productivity, identify issues, and allocate workload

Manage AIDET patient communication surveys, compile and communicate results, and make any process or procedure changes necessary to improve outcomes. Also manage TSF and Arcadia Tracking on a daily basis

Manage the processing of all Release of Information requests. Coordinate with Risk Management regarding the healthcare information to be provided prior to release
-
Coach, mentor, and train direct report staff. Assess staff competencies, provide continuous performance management, and conduct employee performance evaluations. Address performance and behavior issues by clarifying expectations and providing feedback

Participate in the recruitment and selection of staff. Provide orientation to outline job requirements and expectations, policies and procedures, and proper use of tools and equipment

Provide Obstetrics (OB) support as needed, including running reports, maintaining the OB log, and providing consent forms and records to the hospital

Provide chart review support to Physician Assistants (PA) and Nurse Practitioners (NP) as needed, including forwarding chart reviews to physicians and maintaining a chart review log

Manage, process, and track all referrals, ensuring all required forms are completed

Manage various work queues daily to ensure timely processing and completion of referrals
-
Respond to incoming calls, emails, and faxes regarding referrals, ensuring appropriate action is taken and documentation is completed and linked to the referral

Set up appointments as applicable and coordinate follow-up between the referral source and the patient
-
Assist with patient insurance authorizations, collaborating with internal resources as needed

Perform other duties as assigned
Qualifications:

High School Diploma or General Education Diploma (GED)

Associates Degree or Certificate from an accredited technical school

One year’s experience working in an office setting, preferably a medical or dental office

What You’ll Do:

Responds to patient billing questions and assists patient with resolving any issues. Partners with the internal Billing department and the Medicaid Office as needed to resolve patient billing and insurance issues.

Provides information to patients and clients on billing and payment practices.
-
Provides information to patients regarding their individual bill including account activity and balance due.
-
Reviews medical insurance options and eligibility requirements with clients including Managed Care plans and other special programs. Advises patients on how to utilize third party resources to secure necessary medical care.

Assists clients with the application process for medical insurance coverage. Reviews eligibility requirements and obtains necessary information for the application. Files and tracks applications per guidelines, sending reports as needed.

Educates clients on how to read and understand their medical insurance coverage. Assists clients with resolving any issues with their medical card or benefits covered by their card.

Manages various work queues daily to ensure timely processing and completion of activities including insurance applications, discounts provided and Medicaid.

Receives and assesses hardship and/or write-off requests. Prepares and submits adjustment requests as needed and forwards to the internal Billing department.

Maintains current knowledge of any changes or updates regarding Managed Care programs, State Medicaid and/or Federal Medicaid.

May perform Lead duties by acting as a liaison between line staff and the direct supervisor. Manages breaks, lunches, sick calls and overtime. Provides insights to leader regarding the skill level and performance of the employees. Responsible for providing training to new employees and existing staff when needed. Performs quality audits as directed.

Qualifications:

High School Diploma or General Education Diploma (GED)

One year’s experience with billing credit and/or patient benefits, preferably in a medical office (including Medical Front Office roles with a billing aspect)

Affordable Care Act (ACA) Certification. Must pass the ACA exam within 90 days of employment

Experience in special programs such as State Managed Care plans preferred
